E-Mailing or Sharing Pictures

Here are some tips for sharing pictures—

Unless a photo will be printed at photo-quality, it is best to share it in a modified (smaller size) format instead of in its original format…..  Here are several easy ways to accomplish that.

E-Mail

When you attach a picture to an e-mail in Microsoft Outlook, an Attachment Options button appears just to the right of the Attach field.  Just click on it to open an Attachment control panel on the right side of your e-mail message screen.  At the bottom you will see a box that can be checked ON (Show when attaching files) so this control panel automatically opens each time you include a document or picture attachment in an e-mail.

Typically there is no need to send large, high quality picture files via e-mail.  This is especially true if you are sharing with multiple people.  Simply use the Picture Options portion of this screen to select the appropriate picture size before e-mailing.
            1. Small (e-mail or web—postcard size)
            2. Medium (web or large previews)
            3. Large (for printing or in documents)

I:\ Drive or PowerPoint, etc.

To reduce picture size for shared viewing on the I:\Shared drive, for creating PowerPoint slide shows, Word documents, etc.-- Microsoft Office Picture Manager has an EASY feature that lets you compress the original picture to a smaller file size.  Choose the Picture menu, then Compress pictures.  A Compress Pictures control panel (similar to the e-mail version) lets you choose an appropriate picture size based on how the picture will be used.  It also shows you, in the lower right, how much the file size will be reduced by compressing.  (Using Picture, Resize is also an option.)

Be aware that either method (Compress or Resize) modifies the original file.  If there is a need to retain the original high quality picture file (i.e. for printing photo-quality) simply use Save As and rename the new compressed file.

If Microsoft Office Picture Manager is not the default program on your computer that launches when you double click a picture file, you can simply right click on the picture file and choose Open With, then select MS Office Picture Manager from the program list.

Exchange Internet E-mail users

Using MS Office Picture Manager to compress or resize pictures is a good option since the Internet version of Exchange E-mail does not offer the Attachment Options or control panel.
